Documents stored online on either Microsoft OneDrive or Sharepoint, will be subject to a cloud feature called Versioning, meaning that any major or minor modification will be recorded and saved. If for any reason, a specific document has lost any or its entire data, a previous milestone of it could be viewed and restored. Please note that only delegates with Full Control and Contribute permissions will be able to interact with this feature.

Restoring Documents in Office WebApp

Please see the steps below to view and/or restore a particular file version:

1. After navigating to https://www.office.com/, on the top-left corner menu, select whether you wish to recover the document from your personal cloud (OneDrive) or your shared cloud (Sharepoint) as shown below.

2a. In Sharepoint, you may have to select which Teams Group the document has been shared on, then Documents on the left-side menu.

2b. Once navigated the desired document's location, click on the ellipsis > Version History.

3. Once the Version History panel appears, clicking on the drop-down menu next to date & time, will bring up the options to either View, Restore or Delete the selected backup. Please note that a message prompt will notify you of any delegates currently viewing or editing the document, as they will be kicked out and any editing lost.

Restoring Documents in Office Desktop

1. If instead, you have the document opened in an Office Desktop application, the feature can be accessed through File > Info > Version History. Keep in mind, this feature is only active for documents created or already existing on OneDrive and Sharepoint, for restoring files from shared folders please contact us using the following form: https://servicedesk.scft.nhs.uk/support/catalog/items/89

2. Once the Version History panel opens on the right-hand side of the document, clicking on one of its versions will open it as a new window.

3. The newly-opened document version will either give you the option to copy some of the lost data over to the current version or fully restore and thus, replace the current one.

Once clicked on Restore, both documents will close and, upon reopening, the chosen version will have been restored.

PLEASE NOTE The overwritten version will also be saved as a previous one to the successfully restored one.
